Trailer Grand Prix - Festival of trailers

The first edition of the "Trailer Grand Prix" festival is open from September 1st to December 24th, 2021!

Warning ! This festival only accepts trailers for fiction, animation and documentary feature films.

To participate:
- Official release of your film should be scheduled between January 20th, 2022 and January 20th, 2023
- Trailer of 3 minutes maximum
- Trailer must be directed by major individuals according to French law, at least 18 years old.

Entry dates and fees:
From September 1st to October 15th: 2€ (registration costs)
From October 15th to November 15th: 4€ (registration costs)

GRAND PRIZE TRAILER
2022 EDITION



ARTICLE 1 : ORGANIZATION OF THE FESTIVAL

The association THE WILD ROOM (TWR) whose head office is located at 174 boulevard Voltaire 92600 Asnières-sur-Seine FRANCE, represented by Mr. Marc Nauleau, the President and Alexandre de Villeneuve, the Secretary General, (hereinafter referred to as "The Organizer") is organizing a trailer festival entitled Trailer Grand Prix (hereinafter referred to as "the Festival").

This Festival will take place from January 12th to 16th, 2022 for its first edition.


ARTICLE 2 : AGREEMENT TO PARTICIPATE

Any entry in the Festival implies that the Participants (legal entities or individuals) accept, without reservation, the present rules and its possible addenda as well as the principle of the Festival. Any person who contravenes one or more of the articles of the present rules will be deprived of the possibility of participating in the Festival, as well as of the prize that he or she may have won.


ARTICLE 3 : PARTICIPATION - ELIGIBILITY

The Festival is open to any individual or legal entity (director, producer, post-production service provider, distributor, international salesperson) wishing to participate and meeting the selection criteria set out below:

- The author or the holder of the exploitation rights of the trailer on the Internet must be of age.
- If the trailer includes dialogue, it must be submitted with english subtitles.
- The duration of the trailer must be three (3) minutes maximum (including credits).
- The topic of the film, the subject of the trailer, is free.
- The film, subject of the trailer, can be in live action or in animation (3D, 2D etc...).
- Are accepted the trailers of fiction, documentaries and series.
- Are excluded advertisements (real or fake), institutional films, prevention campaigns, artistic videos of an experimental nature and music videos
- Films that are contrary to public order and morality, defamatory, insulting, racist, anti-Semitic, xenophobic, revisionist, inciting or advocating violence and discrimination in all its forms, infringing on human rights, copyright, neighbouring rights and trademark rights will be illegal.
- In the case of collaborative or composite works, the participant guarantees that they holds all the necessary rights (i) to participate in the Festival and (ii) to the linear exploitation of the film under the conditions provided for in Article 5.
- The rights holder of the film and the trailer must have the rights to the original music of the film or use royalty-free music.
- The film, subject of the trailer presented, must not have been the subject of an exploitation in any form whatsoever (Cinema, TV, Web) before the closing date of the festival. Therefore, only trailers of films whose official release will take place between January 20th, 2022 and January 20th, 2023 will be accepted.

Participation in the Festival implies knowledge and agreement of the characteristics and limits of the Internet, particularly with regard to technical performance, response times for consulting, querying or transferring information, the lack of protection of certain data against possible misappropriation and the risks of contamination by any viruses circulating on the network.


ARTICLE 4 : MODALITIES AND MATERIAL ELEMENTS OF THE FESTIVAL

The principle of the Festival is as follows

4.1 Submission of applications & Selection process

The registration period for films is open from September 1st to December 24th, 2021.

Registration must be made on one of the following platform:

The online submission of applications implies the creation of a personal account on the chosen platform, the creation of a page dedicated to the trailer duly filled in, and therefore requires the uploading of the trailer or the mention of a viewing url link.

To this end, the video must have been uploaded prior to registration on a sharing platform such as Vimeo or Youtube and must be accessible as a private or public link.

If the Participant does not already have a Vimeo or a YouTube account, they may register free of charge by completing the form available on the Video Site.
These platforms require a certain amount of information for their own and sole use.

Only one deposit is necessary.

In the event of a problem encountered on one or other of these platforms, participants must take the necessary steps to resolve the problem themselves and the Organizer cannot be held responsible. No application will be accepted other than by submission on one or other of the above-mentioned platforms.

At the time of the application, the Participant may provide a private or public link to the trailer. However, in the event of selection, the Participant must submit a public link and a digital file of the video.

Participants must consider the technical standards imposed by the festival during the production of their video(s), in case of selection. Namely:
- Minimum resolution of the trailer: 1920 x 1080 in HD,
- Ideal resolution of the trailer: 4K

For the uploading of their video on the sharing sites Vimeo or Youtube, the Participants will have to prioritize encoding in H.264. Nevertheless, it is recommended that the candidate keeps the MASTER file (native) in the initial format (at least a ProRes 4:2:2) in the event of its selection.

Any false, erroneous and/or incomplete declaration will be considered invalid and void and will result in the disqualification of the applicant. All entries received after the Festival deadlines will be revoked.

At the end of this registration period, a pre-selection will be made by the programming committee.

4.2 Final phase of the Festival

From January 1st, 2022 to January 14th, 2022, Internet users from different countries (hereinafter referred to as "the Voters") will be able to vote for their favorite trailers on the Festival website.
To this end, the trailers will be put online and available on trailersgrandprix.com free of charge. The participant will not be able to ask the organizer for any compensation for this broadcast. In the perspective of this online publication, the url links of the selected trailers will be used. To avoid any technical problems, the Participant will also be asked to send the link of the video or a link to download the H.264 file of the video via a cloud or FTP/server service.

Trailers will appear in their corresponding categories as well as in the national and international categories. Each voter will be required to log in and fill out a form before voting. The uniqueness of the vote will be verified through the deposit of several dedicated cookies on the voter's terminal equipment. These votes will be used to determine a winner for the Audience Award.

The trailers will also be deliberated by a jury of film professionals who will award the Grand Prize.

4.3 Deliberation by the professional jury

During a public event organized in Paris (France), the trailers will be screened in a movie theater (the Grand Action). A jury of professionals will meet on this occasion to award the prize for the best national and international trailer. An outside audience will also be able to attend this screening and vote for the Audience Award (addition of their vote to those made on the internet).

The results will be announced at the awards Ceremony on January 15th, 2022.

In order to organize this screening, the participant will be responsible for sending the Festival's technical teams the video file in the right format for broadcasting: DCP or PORES 4.2.2.
- Minimum resolution of the trailer: 1920 x 1080 in HD,
- Ideal resolution of the trailer: 4K


ARTICLE 5: ANNOUNCEMENT OF THE SELECTION / DETERMINATION OF THE WINNERS

The Organizers will contact the selected Participants by telephone and/or e-mail within one week of the closing date for entries.

As the professional jury will meet at the very beginning of the festival, the Grand Prize winners will be informed before the award ceremony and will be invited to attend.

The winning trailers will be awarded various prizes, including a laurel that can be used on the international film markets, a guarantee of both public and critical quality and future success for distributors and producers.


ARTICLE 6: awards

The Grand Prize Winners will receive a number of awards in addition to the distinction. A list will be communicated later.


ARTICLE 7: RESPONSIBILITY OF THE ORGANIZERS

The Organizer shall not be held responsible if, for reasons beyond its control (acts of God or force majeure as well as any other event considered by them as making it impossible to carry out the Festival under the conditions initially planned), the Festival is partially or totally modified, postponed or cancelled.

The Organizer cannot be held responsible for the malfunction of the site(s) and/or the Festival for a given browser. The Organizer does not guarantee that the site(s) and/or the Festival will function without interruption or that it will not contain any computer errors, nor that any defects noted will be corrected within a very short time. In the event of a technical malfunction of the Festival, the Organizer reserves the right, if necessary, to invalidate and/or cancel the Festival during which the said malfunction occurred. No claim will be accepted as a result. The Organizer cannot be held responsible if the data related to the registration of a participant does not reach them for any reason for which they cannot be held responsible (for example, a problem with the Internet connection due to any reason on the part of the user, a momentary failure of our servers for any reason, etc.) or if it arrives unreadable. The Organizer cannot be held responsible for any damage of any kind (personal, physical, material, financial or other) that may occur as a result of an individual's participation in the Festival. The Organizer cannot be held responsible for the geographical or technical impossibility of connecting to the website mentioned in article 4. The Organizer cannot be held responsible for the loss and/or theft of entries and/or delays in their delivery due to the postal services or their total or partial destruction for any other fortuitous event. The Organizer will systematically disqualify any participant who distorts the spirit of the Festival by attempting to increase his or her chances of winning, either by using technical means, legal or illegal, known or unknown to this day, or by capturing or diverting for his or her own benefit confidential information. The Organizer reserves the right to verify the methods used by the participant and to determine the consequences it deems useful. The Organizer reserves the right to take legal action in the event of proven falsification.


ARTICLE 8: COMPLAINTS

The Organizer undertakes to respond as soon as possible to these questions or requests for information. Any claim related to the application or interpretation of this Festival will be decided exclusively by the Organizer.


ARTICLE 9 : MODIFICATION OF THE RULES

The Organizer reserves the right to modify the present rules if necessary, to make any decisions it may deem useful for the application and interpretation of the rules, without incurring any liability. All modifications, substantial or not, to the present rules may be made during the course of the Festival, which will then be brought to the attention of the participants who will have to submit them as annexes to the present rules.


ARTICLE 10 : VALIDATION AND ACCESS TO THE FESTIVAL RULES

The entirety of the rules is freely accessible online on the website www.trailergrandprix.com/reglement where it can be printed.

Any participation in the Festival is considered as a total acceptance of the present rules.


ARTICLE 11: DATA AND INFORMATION - DATA PROTECTION ACT

In order to participate in the Festival, the Participant must necessarily provide certain personal information concerning them and the people featured in the trailer.

Such data is referred to as the "Entry Data". If the Participant fails to provide the Participation Data, they will not be able to participate in the Festival.

To participate in the Festival, the Participant must create an account on one or other of the platforms mentioned in Article 4 of these rules in order to submit his or her trailer. The Participant is then asked to provide certain Participation Data depending on the platform chosen, including

E-mail address,
Postal address,
Telephone number,
Date of birth,
Nationality,
Social network login,
First and last names of the people featured in the video, etc.

To participate in the online voting on the Festival website (www.trailergrandprix.com), the Voter must provide certain personal information about him or her:

Email address,
Nationality

These Participation Data will be used by the Organizer in order to verify that no offence is committed during the voting, and to ensure that the age and identity requirements for participation in the Festival as a participant or voter are met, on the one hand, and to keep them informed of the results of the final phase of the Festival, on the other hand

11.1. Persons responsible for processing

The platforms mentioned in Article 4.1 are each responsible for processing the Participation Data entered and transmitted by the Participant when creating his/her account to submit his/her short film during the Festival registration period.
The Organizer, whose contact information is specified in Article 1 of these rules, is only responsible for processing the Participation Data transmitted to it on its website www.trailergrandprix.com.

The Organizer, whose contact information is specified in Article 1 of these rules, is responsible for the processing of the Participation Data received directly on its platform www.trailergrandprix.com.

The data controllers undertake to process the Participation Data in a lawful, fair and transparent manner and to provide it with the appropriate level of security. In particular, the Participation Data collected will be processed in accordance with European regulations and legislation on personal data.

11.2. Rights of Participants and persons featured in the trailers

In accordance with the European Regulation No. 2016-679 of 27th April 2016 on the protection of individuals with regard to the processing of personal data ("RGPD"), each Participant and Voter has a right of access, rectification, erasure, limitation of processing and portability of personal data concerning themselves, within the limits and conditions provided for by the RGPD.

For reasons relating to their particular situation, each Participant and Voter may object to the processing of their personal data.

Where the processing of the personal data of the Participant and/or one of the persons listed in the trailer is carried out on the basis of their consent, the Participant and/or one of the persons listed in the trailer may withdraw their consent at any time.

Finally, in accordance with the amended law n° 78-17 of January 6th, 1978, each person has the possibility to define directives concerning the fate of their personal data after their death.

11.3 Exercise of rights

These rights can be exercised at any time.
To exercise the above-mentioned rights with regard to the Participation Data entered when creating an account on the platforms mentioned in Article 4.1, the Participant must contact these platforms directly in their capacity as data processors during the Festival registration period.

To exercise the rights mentioned above on the Participation Data transmitted to the Organizer, the Participant or the Voter must contact the Organizer to the following postal address The Wild Room 174 boulevard Voltaire 92600 Asnières-sur-Seine France or send an e-mail to contact@trailergrandprix.com.

The personal data which will be communicated within the framework of the exercise of the rights mentioned above will be on a personal and confidential basis. In this respect, in order for the request to be taken into account, the person must send the necessary elements for identification, namely, a written certificate on honour by which the person certifies that they are the owner of the said personal data appearing in the trailer whose personal data are concerned by the above-mentioned rights, as well as a photocopy of an identity document including a signature of the said person.

In case of dispute, each person has the right to refer to the Commission Nationale Informatique et Libertés (CNIL), in particular on its website www.cnil.fr.

11.4. duration of storage of Participation Data
The Participation Data provided by the Participant when creating their account on one of the platforms mentioned in Article 4.1 will be kept for the duration declared by these platforms in their respective privacy policies.

The Participation Data transmitted to the Organizer within the framework of the Festival shall not be kept beyond the period strictly necessary for the purposes pursued as set forth in these rules and this in accordance with the RGPD, namely:

The Participation Data of the Participants and of the persons appearing in the non-awarded trailer will be kept until January 15th, 2023;

The Participation Data of the Participants and of the persons featured in the winning trailers will be kept for a period of 36 months from the end of the Festival.

Participation Data of Voters will be retained until January 15th, 2023.

Nevertheless, the Participation Data may be kept before deletion, in intermediate archives, for the duration of the legal prescription for the purpose of preserving the proof of participation and the consents of the Participants and/or persons appearing in the trailers for the defense of the Organizer.

11.5 Transfer outside the European Union

The Organizer undertakes to ensure that the Participation Data of the Participants and of the persons appearing in the works that have been transmitted to it will not be transferred outside the European Union, or that such transfer will be made in a secure manner.

The Participation Data entered when creating an account on the platforms mentioned in Article 4.1 may, however, be transferred outside the European Union, in accordance with the data confidentiality policy implemented by each of these platforms.


ARTICLE 12: INDUSTRIAL AND INTELLECTUAL PROPERTY

12.1. Any reproduction, representation or adaptation of all or part of the elements of the Website used for the announcement, organization and running of the Festival is strictly forbidden without the prior and express authorization of the Organizer.

12.2. The participant guarantees that they will not withdraw their trailer from the festival before the date of the prize-giving.

12.3. The participants in the Festival agree to grant the Organizer the rights to exploit the trailers that are the subject of their participation, in a non-exclusive manner, in accordance with the provisions of the intellectual property code, during the public event, after which the Organizer will no longer be the owner.



ARTICLE 13: APPLICABLE LAW AND SETTLEMENT OF DISPUTES

13.1. The Festival and the present rules are subject to European law and to the jurisdiction of the European courts, notwithstanding the nationality of the participants.

13.2 Any question relating to the application or interpretation of the rules or any unforeseen question that may arise in the context of this Festival will be decided, depending on the nature of the question, by the Organizer.
